Overview

Dictate ("we", "our", or "us") operates voicememotranscript.com. This Privacy Policy explains how we collect, use, and protect information when you use our voice transcription service. We are committed to handling your data with care and transparency.

What Data We Collect

We collect the following categories of information:

  • Audio files. When you upload a voice memo for transcription, we temporarily receive and process your audio file (typically .m4a format). The file is stored only for the duration of the transcription job.
  • Account information. When you register, we collect your email address and, if you sign in with Google, your name and profile picture as provided by Google OAuth.
  • Usage data. We collect basic usage information such as the number of transcription jobs you have performed, timestamps, and file durations. This is used to enforce plan limits and improve the service.
  • Billing information. Payment details are handled entirely by our payment processor (Creem). We do not store credit card numbers or full payment credentials. We receive billing status, subscription tier, and transaction identifiers.

How We Use Your Data

We use the data we collect to:

  • Process your audio files and return transcription results to you.
  • Manage your account, authenticate your identity, and enforce subscription limits.
  • Send transactional emails (account verification, password reset) via Resend.
  • Monitor service performance and diagnose technical issues.
  • Comply with legal obligations.

We do not sell your personal data to third parties, and we do not use your audio content to train machine learning models.

Data Retention

Audio files are deleted immediately after transcription is complete. We do not retain your voice recordings beyond the time strictly required to produce the transcript.

Transcription text results are stored in your account and retained until you delete them or close your account. Account information is retained for as long as your account is active. Upon account deletion, your personal data is removed within 30 days, except where retention is required by law.

Third-Party Services

We rely on the following third-party services to operate Dictate:

  • Supabase — database and file storage. Audio files are temporarily stored in Supabase Storage during processing. Supabase is SOC 2 Type II compliant.
  • Google OAuth — optional sign-in method. If you choose to sign in with Google, Google's privacy policy governs their data handling.
  • Groq — AI inference provider that runs the Whisper transcription model. Audio data is transmitted to Groq's API for processing under their data processing agreement.
  • Creem — payment processing. Creem handles all billing and subscription management. Your payment information is subject to Creem's privacy policy.
  • Resend — transactional email delivery for account verification and notifications.

Cookies and Tracking

We use session cookies necessary for authentication. We do not use advertising cookies or cross-site tracking technologies. If you sign in, an authentication cookie is set to maintain your session.

Your Rights

You have the following rights regarding your personal data:

  • Access. You may request a copy of the personal data we hold about you.
  • Deletion. You may delete your account at any time from the Account settings page. This will remove your personal data from our systems.
  • Correction. You may update your account information at any time.
  • Portability. You may export your transcription history from the dashboard.

Data Security

We implement industry-standard security measures including HTTPS encryption in transit and encrypted storage at rest. However, no method of transmission over the internet is 100% secure. We encourage you to use a strong, unique password for your account.

Children's Privacy

Dictate is not directed to children under the age of 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify you by email. Your continued use of the service after changes are posted constitutes your acceptance of the updated policy.
